II. Academic Year and Registration
1. Academic Calendar
Each academic year at VSA includes three regular terms, a Spring Break session, and a Summer session:

Term 2 (Winter): January – March (may include Spring Break – 2 weeks only)

Summer Term: July – August (6 weeks only)

III. Enrollment and Course Requirements
1. Registration and Tuition
Before starting classes, students must

2. Registration Fees (Non-Refundable & Valid for 1 academic year only)

New students: $150

Returning students: $100 (charged once per academic year)
3. Course Enrollment

Students must enroll in at least one full term each time they register.

Tuition and fees must be paid in full prior to the course start date. No spots will be reserved without full payment.
IV. Payment Options & Methods
1. Payment Options

Eligible for the tuition discount before the early bird deadline, but no combination with other promotions

Monthly Installments:
Post-dated Cheques must be issued and submitted all at one time before the first class starts, not early bird discount applied

Late Payment Policy

A $50 late fee will be charged if payment is not received before the first class.
Art Portfolio Project

Full Project Payment (Recommended)

One-time payment for the entire project term:
Eligible for the project fee discount before starting, but no combination with other promotions

Annual Installments
Annual payment must be made before the new school year starts every year, not any project fee discount applied
2. Payment Methods

All fees must be paid at the time of registration.

Payment can be made via cash, cheque, debit and credit cards, WeChat, or AliPay
-
A 2% service charge applies to payments made via credit card, WeChat, AliPay, or 3% by PayPal.
V. Withdrawal and Course Adjustment Policy
1. Withdrawal & Course Changes:
-
Students must submit written notice at least two weeks prior to the intended withdrawal or course change.
-
Refunds will follow the guidelines outlined in the Refund Policy section.
-
Course changes may be subject to availability and administrative approval.
2. Special Circumstances:
-
In cases such as relocation, serious illness, or emergencies, supporting documents are required.
-
These requests will be reviewed by the VSA administration on a case-by-case basis.
VI. Attendance Policy
1. Expectations:
- Students must attend all classes on time.
2. Absence Notification:
- Notify the instructor or admin at least 24 hours in advance for known absences.
- Emergency absences must be explained afterwards for consideration.
VII. Missing Class Policy
We do not offer refunds for missed classes. Two options for students

Tuition Credit
-
Credits will be issued for any individual missed classes
-
Credits can be used for registration fees, competition fees, or material purchases.
-
Credits can be transferred to the following term, but the difference between the drop-in class fee and the tuition credits need to be paid by students as the missed class counts to a drop in course.

Makeup Class
-
Each student is entitled to a maximum of 3 makeup sessions per academic year.
-
Makeup classes must be scheduled during Spring Break or Summer Term only.
VIII. Refund Policy
Please submit refund requests in writing.

Students must withdraw 7 days before the start of a class to receive a full refund.
-
Students withdrawing within two weeks will only receive the tuition balance after a deduction of the first two art classes.
-
We do not issue refunds after the second week’s class completion. Missed attendance does not constitute withdrawal.
-
A $50 administration fee will be deducted from all refunds processed for withdrawals.
-
Processing Time: 3–5 business days.
XI. Drop-off & Pick-up Policy
Parents are required to pick up and drop off students on time to ensure that students leave the VSA studio in time after the course. No refunds or make-up lessons will be given for students who are late. VSA is not responsible for the after-school care of students.
X. Privacy and Data Protection Policy
VSA collects and maintains personal information solely for purposes related to student registration, communication, and program administration. This includes informing families of VSA events, updates, exhibitions, and fundraising initiatives.
All personal information is handled in accordance with British Columbia’s Personal Information Protection Act (PIPA). VSA does not rent, sell, or trade any personal data with third parties and will not disclose information without prior consent unless required by law.
What We Collect
Personal information may include names, contact details, birthdates, emergency contacts, and relevant student background necessary for class placement and support.
Use and Consent
VSA will identify and inform you of the purpose for which your personal information is collected. By enrolling at VSA, you consent to the collection and use of this information for administrative and communication purposes. You may withdraw your consent at any time with a 30-day written notice. However, this may limit your ability to receive communications or participate in certain services.
Security and Retention
Your data is securely stored and only accessible to authorized personnel. Information will be retained only as long as necessary to fulfill its intended purpose.
XI. Advertising and Publicity
VSA reserves the right to photograph or film students and their artwork for free use in advertisements, social media, the VSA website, brochures, exhibitions, and other promotional materials. Student artworks may also be selected for display at no cost to the student. Parental or guardian consent for such use will be required at the time of registration.
